ProofForce ("we", "us", or "our") is built by Enter Through The Gift Shop LLC. This policy explains what information we collect, how we use it, and your rights as a user.

Information We Collect

Account Information

When you create an account, we collect your email address and name.

Voice Recordings

When you log a visit, call, or meeting, we record audio on your device and upload it to our servers for transcription and analysis. Raw audio files are deleted 30 days after a visit is processed.

Location Data

With your permission, we collect your approximate location when you start a recording to help match visits to nearby accounts. Location is never collected in the background.

Business Data

You may upload account names, contact information, product catalogs, and call report templates. This data is stored securely and used only to power your ProofForce workspace.

Usage Data

We collect basic usage data (e.g. feature usage, error logs) to improve the product. We do not sell this data.

How We Use Your Information

To provide transcription, AI extraction, and report generation
To sync your data across devices
To send transactional emails (visit summaries, task reminders)
To process subscription payments
To improve the accuracy and reliability of our AI features

Third-Party Services

We share data with the following services to operate ProofForce. None of these services are permitted to use your data for their own purposes beyond providing services to us.

OpenAI — audio transcription and AI extraction
Supabase — database and file storage
Stripe — payment processing (web subscriptions)
Apple — in-app purchase processing (iOS subscriptions)
RevenueCat — subscription management
Expo — push notifications

Data Security

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Access to your data is restricted by row-level security — no other user or organization can access your data.

Data Retention

We retain your account data for as long as your account is active. You may request deletion of your account and all associated data at any time by emailing support@proofforce.ai. Raw audio files are automatically deleted 30 days after a visit is processed.

Your Rights

Depending on your location, you may have the right to:

Access the personal data we hold about you
Correct inaccurate data
Request deletion of your data
Export your data in a portable format

Children's Privacy

ProofForce is not intended for users under 18. We do not knowingly collect data from minors.
